How to invite an agency to your team

Give an agency or developer's whole team access to your sites in one step, choose what they can do, and disconnect them at any time.

If an agency or freelance developer looks after your WordPress sites, you can invite their whole team in one step instead of adding each of their people individually. You choose what they can access, your Activity Log shows the agency's name against everything they do, and you can disconnect them at any time.

How it works

You send one invitation to the agency's email address. Someone at the agency accepts it and connects their own Wordify team. From then on, the agency decides which of their people work on your sites, and their access is always limited to what you granted.

Invite an agency

  1. Go to Teams and open your team.

  2. On the Permissions tab, find the Agencies card.

  1. Select Invite an agency.

  2. Enter the agency's email address. Anyone at the agency who owns their Wordify team, or is a Team Admin on it, can accept the invitation.

  3. Choose the access you want to give. This sets the ceiling for the whole agency (see How agency roles and permissions combine for the details):

    • Team Admin: full team and site management, including deleting sites. No billing access.

    • Team Member: can see all sites and create new ones.

    • Billing: billing access only, no site access. Only the team owner can grant this.

    • Collaborator: access limited to the sites you pick. Choosing Collaborator opens a site list so you can select them.

  4. If you want a final check before any access starts, tick Ask me to confirm before access starts. You'll see which agency team accepted, and they get nothing until you approve.

  5. Select Send invitation.

We email the agency a link. Nothing changes on your team until someone at the agency accepts. Invitations expire after seven days; if one lapses, use Resend on the Agencies card to send a fresh link.

After the agency accepts

The connection shows as Connected in the Agencies card. If you ticked Ask me to confirm before access starts, it waits there for you to confirm or reject first, and the agency has no access until you confirm.

A few things to know:

  • The agency manages its own people. You won't see their individual staff, and they can't see or manage your team's members. No matter what access you grant, an agency can never invite or remove people on your team.

  • Your Activity Log shows the agency's name against every change they make, so you always know which work was theirs.

Change what the agency can do

  1. On the Agencies card, select the pencil icon next to the agency.

  2. Adjust the roles or the site list in the Edit agency access dialog.

  3. Select Save changes.

Changes apply to everyone at the agency straight away, and the agency is notified by email.

Disconnect an agency

Select the trash icon next to the agency on the Agencies card and confirm. Their access ends immediately. The agency can also disconnect from their side, in which case you'll receive an email.

Two-factor authentication

If your team requires two-factor authentication, that applies to agency staff too. Anyone at the agency who hasn't enabled 2FA won't have access to your team until they turn it on.

Troubleshooting

  • The agency says the invitation link doesn't work. Links are single use and expire after seven days. Resend from the Agencies card; the new email replaces the old link.

  • The person who received the email can't accept. Only an owner or Team Admin of the agency's Wordify team can accept. Ask the agency to forward the invitation internally, or revoke it and re-invite using a different email address.

  • You invited the wrong email. Revoke the pending invitation from the Agencies card and send a new one.
